Academic CV for scholarships and admission: Europass guide 2026

How to build an academic CV for scholarships: section order, Pakistani grades, Europass, CEFR language levels, length and the mistakes reviewers notice.

✍️ Titans Abroad Team·October 14, 2026·⏱ 13 min read

Most Pakistani applicants open a job resume template, swap in their degree details, and upload it. The committee wanted to see what you have studied, what you have produced and whether you can finish a piece of work. An academic CV is a record of that evidence, laid out so a tired reviewer can find it in a couple of minutes.

Academic CV vs job resume: what actually changes

A job resume lists duties and tries to fit on one page. An academic CV lists evidence: degrees, grades, projects, papers, talks, awards, teaching. Education comes before work experience, and research comes before part-time jobs. Harvard's graduate career service lists the core sections of a PhD CV as contact information, education, research experience, teaching experience, publications, presentations, honors and awards, and references.

The CV is a factual record, not a pitch. The pitch lives in your motivation letter. Harvard's advice is that the CV is the complete record while the letter highlights the most relevant parts, and the letter should not read like a CV written in sentences. If your letter says you enjoy data analysis, the CV should show the course, project or dataset that backs it up.

Check whether your programme prescribes a format

Before you design anything, read the document list of your programme. Several of the scholarships we track say exactly what they want, and they do not agree with each other.

  • The DAAD Scholarship (Germany) page lists a CV in Europass format. DAAD's own PRIME FAQ says the CV should be prepared in tabular form in line with EU standards, recommends the Europass template, asks for no chronological gaps, and says a photograph is not required. Individual DAAD calls can set their own rules, so read the one you apply to.
  • The TΓΌrkiye Burslari Scholarship page tells applicants to upload the CV strictly in Europass format and says non-compliant CVs are marked down at document review.
  • The Erasmus Mundus Joint Masters scholarship page on our site lists Europass as strongly recommended. The European Commission's student page says you apply directly to each master's programme and that each programme's website lists its own entry requirements and steps. So the CV rule belongs to the programme, not to "Erasmus Mundus" in general.
  • The Development-Related Postgraduate Courses (EPOS) page lists a hand-signed CV, so you print, sign and scan it.
  • Geneva Excellence Fellowships ask for a CV of a maximum of 2 pages, strictly enforced. Schwarzman Scholars list a two-page limit. The IBM PhD Fellowship lists 3 pages.
  • Brawijaya International Scholarship says to use the official UB template, and SWIS asks for 1 to 2 pages on its own template.
  • The Israel Weizmann Scholarship page asks for a passport-size photograph at the top right of the CV.

When a programme gives a template, a page limit or a photo rule, that beats everything in this article. Rules change between intakes, so check the official instructions for your year.

The Europass CV in plain terms

Europass is an online tool from the European Union. On the official Europass site you first build a profile (education, training, work experience, skills), then choose which parts go into a CV and pick a design. Its guidance is to list the most recent experience first and to explain any long gaps in work or learning. It gives no page limit, but advises against a full detailed history and says to focus on the facts that match the opportunity.

The Europass FAQ says you can add, remove, edit and move sections such as "Work experience" and "Education and training", and create custom sections with your own titles. That matters for academic applicants: add sections called "Publications", "Research projects" or "Conferences" instead of squeezing everything into work experience. You can save the result as a PDF.

Europass also suggests adding a photograph. Programmes disagree: DAAD says a photo is not required, Weizmann asks for one. Follow the programme. If it is silent, a photo is optional, and leaving it out is safe for most European scholarship applications.

Section order for an academic CV

When no template is imposed, this order works for most master's and PhD applications. Harvard's guide adds that section order varies by discipline and recommends looking at CVs of recent graduates in your own department. For a bachelor's or MBBS-type application you will have fewer research items, so move awards and extracurriculars up.

How to list Pakistani qualifications so foreign readers understand them

A reviewer in Berlin or Ankara has no idea what "FSc Pre-Engineering, Faisalabad Board, 1st division" means. Write each qualification so it can be read without a local dictionary: official degree name, institution, city, dates, and the result as your documents print it.

Matric, FSc and A-levels

Write "Secondary School Certificate (Matriculation), Science group" and "Higher Secondary School Certificate (FSc Pre-Medical)", followed by the board name. For O and A-levels, give the subjects, the exam board and the grades as printed on the certificate. Our IBCC and MOFA attestation guide explains when your school certificates need equivalence or attestation.

BS, MPhil and other degrees

Say "BS (Hons) Computer Science, four-year programme" instead of just "BS". A foreign reader needs to know it is a four-year degree and not a two-year pass course. For an MPhil, give the full title and the thesis title. Imperial says a supervisor's name is not required on a CV, so add it only if the programme asks.

CGPA, percentages and divisions

Write the grade the way your transcript shows it, with its scale: "CGPA 3.45 / 4.00". Never convert your own marks to another country's scale. Committees apply their own conversion rules, and a wrong number looks like an exaggeration. If your university gives percentages only, write "68 percent" and nothing else. A class rank or medal is worth adding ("Ranked 3rd in a batch of 60"), but only if the transcript or a letter can support it.

Research, publications and conferences

This is where a good scholarship CV wins. Describe your final-year project or thesis in two lines: the question, the method, the result. "Built a classifier for rice leaf disease from a self-collected image dataset" works, with figures added only if you have them.

For publications, use one citation style throughout. Oxford's careers service advises full citations in a consistent style, your own name highlighted, and works labelled "forthcoming", "under review" or "submitted" when they are not yet in print. Imperial says peer-reviewed journal articles should come first and be grouped together. Never mix a submitted paper in with published ones, and check a journal before you list it, because reviewers in your field recognise weak venues quickly. If you have no publications, which is normal at bachelor's level, rename the section "Research projects" and list your thesis or a course project with real output.

Conferences get the same treatment: title of talk or poster, event name, city, year, and whether you presented. Imperial notes that early-career candidates may list conferences attended, but as experience grows the list is usually trimmed to talks given. A national student symposium at a Pakistani university is fine to list, with the right label.

Volunteering, awards and leadership

Pick items that show responsibility and results. "Organised a blood donation camp for 120 donors with a team of 8" says more than "social worker". Give the role, the organisation, the dates and one outcome. A flood relief drive or tutoring in your mohalla is fine, as long as you did the work and can talk about it in an interview.

Skills and languages with CEFR levels

Keep the skills list short. Name tools you could use tomorrow in a lab or a class: Python, SPSS, Stata, AutoCAD, R, Excel for data analysis. Skip "MS Word" and "internet browsing". A list of 25 skills tells a reviewer you have not chosen.

For languages, use the Common European Framework of Reference (CEFR) from the Council of Europe. It has six levels in three bands: A1 and A2 (basic user), B1 and B2 (independent user), C1 and C2 (proficient user). The Council of Europe describes B2 as being able to understand the main ideas of complex text, including technical discussion in your field, and C1 as understanding demanding longer texts and using language flexibly for social, academic and professional purposes. Europass hosts the CEFR self-assessment grid in many languages, so you can compare yourself against the "I can" statements for listening, reading, speaking and writing.

Urdu is usually C2 as a native language. English should match what your test result or honest self-assessment supports. Do not write "C2 English" because you studied in English-medium schools; a panel member who talks to you for ten minutes will know. If you hold an IELTS, TOEFL, PTE or Duolingo result, add it with the date and overall score.

Personal details: what to leave out

  • Leave out your CNIC number, passport number and date of issue. Give them on the application form only if asked.
  • Leave out father's name, religion, marital status and domicile unless the form requires them. Many Pakistani CV templates still include these lines. They add nothing for a foreign reviewer.
  • Skip graphics, skill bars and multi-column layouts. Imperial warns that applicant tracking systems struggle with pictures, graphics and multi-column text.

How long should the CV be

There is no single answer, and official advice varies by level. Oxford's careers service says an academic CV has no fixed page limit but should stay concise and relevant, while Oxford graduate admissions guidance for a separate CV points to one or two pages. Imperial says early-career academic CVs should aim for about two pages. Harvard says there is no page limit but most graduate student CVs run two to five pages, which is for PhD students with publications and teaching.

For a Pakistani bachelor's or early master's applicant, one to two pages is typical. The page limit in the official instructions always wins: Geneva and Schwarzman say two pages, IBM says three. If you go over, remove the oldest and weakest items. Shrinking the font to fit does not help. Harvard suggests 10 to 12 point type with margins between three quarters of an inch and one inch.

Keep one long master CV (Harvard calls it an archival CV) and cut a tailored version from it for each application.

Mistakes that cost Pakistani applicants

  • Fake or altered documents. Do not forge or edit a transcript, experience letter or certificate. Universities and embassies verify documents, and a proven forgery ends an application. If a consultant offers to "arrange" an experience letter, read our guide on how to spot a fake study abroad consultant.
  • Unexplained gaps. Europass and DAAD both want gaps explained or avoided. If you took a year after FSc for entry tests or family reasons, say so in one line.
  • Bloated skills sections. Thirty skills and ten progress bars tell a reviewer nothing.
  • An unprofessional email address. Use your name. Make a plain address for applications and check it daily.
  • A messy file. Save a PDF named "AyeshaRaza_CV.pdf", not "CV final 2 new (1).docx". Some DAAD portals accept only PDF uploads, so convert before you upload.

Frequently asked questions

Is an academic CV different from a Europass CV?

Europass is a layout and an academic CV is a type of content. Because Europass lets you add and rename sections, you can build an academic CV inside it with publications, projects and awards. Use Europass when the programme asks for it, and a clean academic layout otherwise.

Should I put a photo on my CV?

Only if the instructions ask for one or the programme is silent and you prefer it. DAAD says a photograph is not required, while the Israel Weizmann Scholarship asks for a passport-size photo at the top right. Follow the specific instruction.

How long should my scholarship CV be?

One to two pages is typical for students without publications. Follow the official limit if one is given. Geneva Excellence Fellowships say a strict two pages, and Schwarzman Scholars list a two-page maximum. University careers services say PhD-level CVs can run longer.

I have no publications. Is my CV weak?

No. Most bachelor's and many master's applicants have none. Show your thesis, course projects, lab work, and any teaching or tutoring. A clear two-line description of real work beats a padded list.

How do I write my CGPA if my university uses percentages?

Write the percentage as printed on your transcript and do not convert it.

Do I need to sign my CV?

Only if the instructions say so. The EPOS page lists a hand-signed CV, so print it, sign it and scan it. For other programmes, check the official instructions.

Your CV is the one document a reviewer can check against everything else in your file. Keep it true, dated and short enough that nobody has to hunt for your best work. For the wider picture, see our scholarships guide for Pakistani students.
